1. Purpose and Scope

This policy establishes the guiding principles, standards, and practices that govern all business operations of MedSecure Logistics LLC (“the Company”).

MedSecure Logistics provides HIPAA-compliant, secure, and time-sensitive transportation services for medical specimens, pharmaceuticals, and healthcare materials across Illinois.

These policies apply to all employees, contractors, partners, and affiliates of MedSecure Logistics LLC and are designed to ensure:

  • Consistent operational excellence

  • Full legal and regulatory compliance

  • Ethical and professional conduct

  • Safety and confidentiality in all operations

2. Mission Statement

Our mission is to deliver life-saving medical items with unmatched reliability, security, and care, ensuring that patients and healthcare providers receive what they need, when they need it — while building trust through professionalism, accuracy, and compassion.

5. HIPAA Compliance and Confidentiality Policy

All employees must adhere to the Health Insurance Portability and Accountability Act (HIPAA) and related state privacy laws.

  • Confidential Information: Includes patient names, records, test results, and any identifiable health data.

  • Handling Procedures: All PHI must be sealed, logged, and never viewed, discussed, or photographed.

  • Training: HIPAA training is mandatory before performing any deliveries or client contact.

  • Violation Consequences: Any breach of confidentiality is grounds for immediate termination and potential legal action.

6. Chain of Custody Policy

To ensure integrity of medical materials, MedSecure Logistics follows a strict electronic Chain of Custody (eCoC) protocol.

  1. Pickup Verification: Courier verifies identity of sender and package contents.

  2. Secure Transport: Packages must remain sealed and secured within the vehicle.

  3. Delivery Confirmation: Recipient verification and electronic signature (ePOD) required.

  4. Documentation: Each transaction logged with timestamp, GPS data, and courier ID.

Failure to maintain proper custody procedures may result in disciplinary action or dismissal.

7. Vehicle and Equipment Policy

  • Vehicles must be clean, insured, and well-maintained at all times.

  • Daily pre- and post-trip inspections are mandatory.

  • Drivers must immediately report any accidents, damages, or malfunctions.

  • Company vehicles are to be used strictly for company business.

  • Couriers must maintain valid driver’s licenses, proof of insurance, and clean driving records.

  • No texting, phone use, or non-business passengers are permitted during deliveries.

8. Safety and OSHA Compliance Policy

MedSecure Logistics complies with all Occupational Safety and Health Administration (OSHA) regulations.

  • All couriers must wear proper Personal Protective Equipment (PPE) (gloves, masks, safety vests, etc.).

  • Biohazard Handling: Must follow OSHA Bloodborne Pathogens Standard.

  • Accident Reporting: Any workplace injury or vehicle incident must be reported within 24 hours.

  • Emergency Response: Employees must follow the company’s incident protocol and notify dispatch immediately.

9. Drug and Alcohol Policy

The Company maintains a zero-tolerance policy for substance use during work hours or while operating company vehicles.

  • Random drug testing may occur.

  • Violation results in termination.

  • Employees on prescription medication must disclose it to HR if it could impair performance or driving ability.

10. Professional Conduct and Dress Code

All employees and contractors must present a professional image consistent with MedSecure’s reputation.

  • Clean company-issued uniform or professional attire.

  • Visible company ID badge while on duty.

  • Courteous communication with all clients, staff, and partners.

  • No profanity, argumentative behavior, or public criticism of the company.

11. Data Security and Technology Policy

  • All digital records, client data, and dispatch logs are encrypted and stored securely.

  • Passwords and login credentials must never be shared.

  • Use of company software, GPS, and tablets must comply with HIPAA and company IT protocols.

  • Only approved devices are allowed for company communication.

12. Anti-Theft and Property Protection

Employees are strictly prohibited from stealing, misusing, or tampering with any company or client property.

  • Theft or negligence resulting in loss of materials will result in immediate termination and potential prosecution.

  • Couriers must report any suspected theft, tampering, or unauthorized access to management immediately.

13. Performance and Accountability

Performance will be measured through Key Performance Indicators (KPIs) including:

  • On-time delivery rate (target: 98%+)

  • Customer satisfaction

  • Route efficiency and accuracy

  • Compliance adherence

Repeated violations, poor performance, or misconduct will result in disciplinary action, including suspension or termination.

14. Non-Disclosure and Conflict of Interest

Employees must avoid any activity that conflicts with company interests, including employment with a competitor or misuse of company information.
All employees must sign a Non-Disclosure Agreement (NDA) to protect proprietary systems, pricing models, and client relationships.

15. Disciplinary Policy

Violations of company policy may result in the following actions depending on severity:

  1. Verbal or written warning

  2. Suspension

  3. Termination

  4. Legal action (if applicable)

All disciplinary measures are documented in the employee’s record.

16. Acknowledgment and Compliance Agreement

All employees and contractors must sign a statement acknowledging that they have read, understood, and agreed to follow all company policies outlined in this document.

Failure to comply constitutes grounds for disciplinary action or termination.

17. Changes to Our Company Policy

MedSecure Logistics may update this Company Policy from time to time to reflect changes to our practices or in applicable law. Any changes will be effective immediately upon the posting of the revised Company Policy.
